Email Program Discussion

These days because of the huge advancements of these services and depending on my clients situation or business needs I would generally advise my clients to use these instead of and email client such as MS Outlook Express, Windows Mail, MS Outlook, Eudora, Windows Mail, Pegasus etc. Web emails have some great advantages over email clients (email software that downloads emails to your computer) such as:

  • Ability to view email from any computer online, anywhere in the world
  • Good built in Spam protection
  • If your computer crashes your email is always safe and easy to access when you purchase a new computer or have access to a friends online PC
  • You don't have to change your email address if you decide to change your ISP

How to Set Up Your Webmail Account

Simply put in:

  • Username - The name that will be seen on the prefix of your email i.e. your@gmail.com, yourname is the username. Sometimes you will have to try several times as simple names will be already taken. Try and keep it meaningful if you can
  • Password

That's it you are ready to go.

How to Set Up Your Email Client's Account

To receive your email, you’ll need to set up your mail server settings. A mail server is a like a post box. Your email gets delivered to that post box and your email software collects the mail from there so that you can send and receive emails. This will need to be done every time you change your ISP (Internet Service Provider)unless you have a web email account such as Hotmail, Yahoo, Gmail and so forth. You will need to find where-abouts in you email client you can set up an email account and server.

Your will need to ask your ISP the following: (Oh by the way it is a good idea to keep this information safely away for future reference)

  • POP settings i.e.pop.iprimus.com.au for the incoming mail
  • PSMTP settings i.e.smtp.iprimus.com.au for sending mail
  • Your username and password
  • Email address

Once you have this information it is a matter of finding the where-abouts in your email client setting up a new email account. This is different for each email client ... hint: it is generally found in "Options" or "Email Accounts"

Once this information is entered and saved with a meaningful name i.e. Full Name or Company Name (this name will be displayed on your recipients email header. This name will be displayed on your email header, it is a good idea to test by sending yourself an email or most times email clients have a testing button you can press giving you feedback as to the success or failure of your configuration.

Traps to Avoid

  • When asked for your username and password. Make sure your username is correct, sometimes the ISP will expect the prefix of your email address i.e. in youname@iprimus.com.au yourname is your username. Other ISP's look for the complete email address for the user name
  • It is a good idea to name you account with a meaningful name especially if you have multiple accounts
